Assistant Athletic Director – Internal OperationsDepartment of Athletics

Job Summary:

Under the general supervision of the Director of Athletics, the Assistant Athletic Director for Internal Operations will serve as a member of the Department of Athletics senior leadership team and be responsible for administration of all aspects relating to a positive and beneficial intercollegiate athletics experience for student-athletes. Responsibilities include management of an NCAA Division II compliance program, coordination of student-athlete welfare initiatives and academic success programs, facility / event management, and monitoring and maintaining compliance regarding Title IX and gender equity.

Essential Functions and Responsibilities:

•Serve as a member of Department of Athletics senior leadership team; assists in the direction, management and monitoring of the Department of Athletics.

•Serve as the primary liaison between Head Coaches and Admissions, Financial Aid, Registrar, Student Life and Residence Life.

•Eligibility: Monitors the eligibility status of all student-athletes; monitor all eligibility function and staff work involving eligibility to ensure that all certifications for both initial and continuing academic eligibility have been performed correctly, and with adequate documentation. Evaluates and analyzes academic records and enrollment status of student-athletes to determine eligibility status for practice, financial aid, and completion; provide interpretations, updates on NCAA legislation and rules education to the various athletic department constituencies. Prepares petitions for restoration of eligibility. Works with the Faculty Athletic Representative (FAR) to review NCAA Eligibility, progress toward degree and other waivers to NCAA or conference as needed. Monitors daily/weekly/ monthly NCAA paperwork from coaches including recruiting and practice logs.

•Compliance: Oversees daily operations of Compliance Office by monitoring daily/weekly/monthly NCAA paperwork from coaches. Coordinates paperwork for National Letters of Intent (NLI’s) and Conference Letters of Intent (CLI’s). Coordinates Student-Athlete Scholarship Renewal paperwork. Monitors and reviews all recruiting activities for adherence to University, Conference and NCAA rules and regulations. Provides Interpretations related to eligibility. Provides regular communication with athletic and coaching staff regarding their student-athlete’s academic progress and athletic eligibility status. Attends NCAA sponsored Rules Seminars.

•Reporting: Maintains Compliance Assistant Internet (CAi) to create accurate database to create accurate eligibility lists and monitor prospective student–athletes. Prepares reports including: ATS, Grad Rate/ASR in conjunction with other campus departments such as finance, institutional research, etc.

•Providing oversight and leadership to the Student Athlete Advisory Committee (SAAC), departmental community service projects, and the NCAA DII Make-A-Wish campaign.

•Coordinating the Skyhawk Academy – program geared towards student-athlete personal development, professional development and academic success.

•Overseeing Athletics facilities scheduling, maintenance and rentals / event management for all on-campus events utilizing Athletics facilities.

•Monitoring and supervising compliance in regards to Title IX and Gender Equity. The incumbent will work closely with student-athletes, coaches and staff along with the Title IX office to ensure training, education and effective communication of Title IX and Gender Equity rules and regulations.

•Advising Athletic Director on all compliance issues and student-athlete experience issues.

•Serving on Rocky Mountain Athletic Conference (RMAC) Executive Council: Attends conference meetings and NCAA conventions.

•Maintaining department student-athlete handbook.

•Assisting with game management.

•Performs other job-related duties and special projects as assigned.

Required Education, Specialized Skills and Experience:

Thorough knowledge and understanding of NCAA rules. Ability to interpret and apply federal, state, and college policies and regulations pertaining to the Athletics Department. Working knowledge of a student information system, such as Banner and PeopleSoft. Strong problem solving and conflict resolution skills. General knowledge of personal computer software for business functions; especially spreadsheet, database, word processing applications and email.

Ability to: effectively manage and deliver student-oriented services on a campus with a diverse student body and staff using modern management and administrative techniques related to the development and implementation of appropriate methods of work planning, scheduling and coordination; assist with the planning, organization, and direction of others in the formation of program and policy within the operation; gather and analyze data; reason logically, draw valid conclusions and make appropriate recommendations; participate in and contribute to group meetings, conferences, and interviews; present clear and concise information orally and in written reports; train and evaluate the productivity and performance of other employees; analyze situations and take corrective action; communicate in a professional and effective manner—in both written and oral forms; and establish and maintain effective working relationships that promote professionalism and mutual respect in a multicultural and diverse academic community.


Equivalent to a bachelor’s degree from an accredited college or university AND three years’ experience in college athletics; which has included training and supervising the work of others.

Preferred Education, Specialized Skills and Experience:

Strong communication, management, and leadership skills. Proficient in the use of personal computers including work processing, spreadsheets and database software. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.


A master’s degree and a minimum of five years working in compliance within a college athletics’ department. Experience working with a diverse and multicultural population and performing community services.
